2. Information We Collect
We collect information that you provide directly, information created while using Volunteerio, and limited technical information needed to run the service.
- Account information: name, email address, password credentials handled by Firebase Authentication, account type, phone number, age, profile photo or icon, preferred name, and emergency contact information.
- Volunteer profile information: program or agency, reason for tracking hours, required hours, due dates, joined organizations, and related dashboard information.
- Organization information: organization name, organization ID, description, website, location, contact information, rules, admins, main admin, member records, admin access requests, and approval settings.
- Event and sign-up information: event title, date, time, location, contact, positions, age requirement, sign-up deadline, attendance status, selected role, and cancellation or sign-up records.
- Hour records: organization, event, date, time, hours, task description, notes, proof files, approval status, admin feedback, and timestamps.
- Waiver and file information: waiver file names, uploaded waiver files, waiver descriptions, typed legal name confirmations, dates, event references, and proof or supporting files uploaded by users.
- Support and communication information: messages or requests you send to us, including email address and the content of your request.
- Technical information: device, browser, IP address, pages visited, security logs, authentication logs, and similar information used to operate, protect, and improve the service.
3. How We Use Information
Volunteerio uses information to provide and protect the service, including to:
- Create and manage accounts.
- Let volunteers join organizations, sign up for events, log hours, upload proof, and view their progress.
- Let admins and main admins create organizations, manage events, review sign-ups, take attendance, approve or reject hours, and manage organization members.
- Record waiver confirmations and uploaded waiver or proof files when those features are used.
- Send account emails, password reset emails, email verification messages, and important service notices.
- Prevent fraud, abuse, unauthorized access, and security issues.
- Comply with legal, safety, and recordkeeping obligations.
- Improve the website, fix bugs, and make features easier to use.
4. How Information Is Shared
Volunteerio does not sell personal information. We share information only as needed to run the service and support the organization workflows users choose to use.
- With organization admins and main admins: If you join an organization, sign up for an event, submit hours, upload proof, or confirm a waiver, relevant organization admins may see the information needed to manage that organization, event, or record.
- With service providers: We use providers such as Firebase, Google Cloud, and Cloudflare to host the website, authenticate accounts, store records, store files, deliver email features, and protect the service.
- For legal and safety reasons: We may share information if required by law, to protect rights and safety, to investigate abuse, or to enforce our Terms of Use.
- With your direction: If you download, export, print, send, or otherwise share a record, you choose where that information goes.
5. Minors and Student Users
Volunteerio may be used by students and minors when a parent, guardian, school, program, or organization allows or supervises that use. If a user is under 13, Volunteerio should only be used with appropriate parent, guardian, school, or organization involvement and permission.
Parents or guardians who believe a child provided information without proper permission can contact support@volunteerio.org to request review or deletion, subject to organization recordkeeping needs and applicable law.
Users should not upload sensitive information that is not needed for volunteer tracking, proof, waiver, or safety purposes.
6. Waivers, Signatures, and Uploaded Files
Volunteerio may let organizations upload waiver or permission files and ask volunteers to type their legal name to confirm a waiver before signing up for an event. Volunteerio stores the waiver confirmation record so organizations can manage their event records.
Organizations are responsible for deciding whether a waiver, permission form, electronic confirmation, or parent or guardian approval is appropriate and legally sufficient for their event. Volunteerio provides storage and workflow tools, but does not provide legal advice.
7. Data Retention
We keep information for as long as reasonably needed to provide Volunteerio, maintain volunteer hour and organization records, comply with legal obligations, resolve disputes, prevent abuse, and support audits or recordkeeping.
You may request deletion of your account or certain information by contacting us. Some records, such as approved volunteer hours, waiver confirmations, attendance records, or organization records, may need to be retained by an organization or by Volunteerio for legitimate recordkeeping reasons.
8. Your Choices
- You can update many account details from your account page.
- You can contact us to request access, correction, or deletion of personal information.
- Admins can manage organization details, members, events, and records according to their organization permissions.
- You can choose whether to upload optional files, but some organizations may require proof or waiver confirmation before accepting certain records or sign-ups.
9. Security
We use reasonable technical and organizational safeguards to protect information, including account authentication, database security rules, and storage rules. No online service can guarantee complete security, so users should use strong passwords, keep account access private, and contact us if they believe their account or organization data has been misused.
10. Third-Party Services
Volunteerio relies on third-party services such as Firebase, Google Cloud, and Cloudflare. Those providers may process information according to their own terms and privacy policies. We use them to host pages, store data, store files, authenticate users, deliver account emails, and protect the service.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we make changes, we will update the "Last updated" date above. If a change is important, we may also provide a notice in the service or by email.
